Creating and managing invoices

Create, check, edit, copy, search, and track invoices, manage statuses and numbering, and review the document action log.

Invoices

Invoices, Reverse Invoices, and Credit Notes

The Invoices section contains Invoices and the Reverse Invoices created from them. Credit Notes created without a source Invoice are on the Credit notes tab. Customer CN is a separate module.

Create and check an invoice

  • Create an Invoice, select a customer, add products or services, and enter the currency, VAT, dates, payment terms, and document number.
  • Before saving, check the customer, invoice and due dates, items, currency, VAT, totals, comments, and bank details.

Invoice list and row actions

  • Click a row to open the document.
  • An unpaid Invoice has a Payments action in its row. The action is no longer displayed after full payment.
  • You can copy an Invoice or a standalone Credit Note. A new draft opens with a prepared number and dates. A Reverse Invoice cannot be copied.
  • An Invoice or Reverse Invoice can be deleted only with status Issued. A standalone Credit Note can be deleted until it is closed. If an Invoice has already been sent, is overdue, or has been paid, create a Reverse Invoice to cancel it formally.
  • Use the status action to close or reopen a Reverse Invoice. A Credit Note can be marked as Paid or returned to Unpaid.
  • Mobile cards show the same actions that are valid for the document type and status.

Edit invoice details

Open a document to correct customer data, items, dates, numbers, comments, or attachments, then save. Payment entries are managed separately in Payments.

Search, filters, and statuses

  • Search by document or customer information and filter by period and status. The available row buttons depend on document type and status.
  • Rows show Issued, Sent, Paid, and Overdue. The Open filter groups Issued and Sent documents. Reverse Invoices remain on the Invoices tab, while standalone Credit Notes appear on the Credit notes tab.

Document action log

The action log records events such as creation, edits, email sending, payments, and reminders and can be exported as CSV.

Configure invoice and credit-note prefixes, next numbers, and suffixes separately and check each live preview.
